Work with multiple workspaces / sub-accounts

Switch between workspaces from the header, understand what's shared and what's separate, and add workspaces or link client workspaces as an agency.

#When to use this

Large organizations often split Wingify into workspaces (formerly called sub-accounts). For example, one per brand or country site, so each team runs its own tests on its own domain. Agencies use linked workspaces to work in their clients' accounts. Use this guide to move between workspaces and to know which settings apply to each one.

#Before you start

  • To switch, you need access to at least two workspaces.
  • To add workspaces or link client workspaces, you must be an Owner or Admin.

#Steps

#1. Switch workspace from the header

At the top of every page, the workspace switcher shows your current workspace name and ID. Click it to open the list of all workspaces you can access. Type a name or ID in Search, then select the workspace. Wingify loads the selected workspace and updates the dashboard.

Note: Only one workspace can be active in your browser at a time. Opening a different workspace in a second tab isn't supported.

#2. Know which workspace opens at login

When you sign in, Wingify opens the last workspace you used, whatever sign-in method you use. If that workspace is no longer available (access revoked, deleted or disabled), you land in your primary workspace, the one you first signed up for or were added to.

#3. Remember what is separate in each workspace

Each workspace has its own:

  • Workspace ID and SmartCode: you can't use one workspace's SmartCode to run tests in another. Install the right snippet from Configurations > Websites and Apps while in that workspace.
  • Campaigns and users: to add someone to another workspace, switch to it first, or assign it through Settings > Users. Users assigned to the main workspace get the same permission in every workspace.
  • Time zone: the account time zone applies to the main workspace only. Additional workspaces use their own setting in Settings > General > Locale Settings.
  • Security settings: 2FA enforcement, Control Wingify execution and global URL redirection are set per workspace. Enabling them in the main workspace doesn't apply them elsewhere.

Visitor quota is shared: by default, all workspaces draw from the main account's quota on a first-come, first-served basis.

#4. Add a workspace (Owner or Admin)

The help center describes adding a workspace from Settings > Workspaces:

  1. Click Add Workspace.
  2. Enter a Workspace Name.
  3. Click Add.

The new workspace appears in the list and in the workspace switcher, with its own ID and SmartCode. If you don't see Workspaces in your Settings menu, your role or account type may not allow it. Agency accounts can't add their own workspaces; they use linked workspaces instead.

#5. Split visitor quota between workspaces (optional)

On Enterprise plans (available on request), Owners and Admins can reserve quota for each workspace in Subscription & Invoices > Visitor Allocation. Click Edit Allocation for a product, then Allocate Visitors for each workspace, set a percentage or count, and click Save.

Warning: Avoid changing Behavior Analytics allocation repeatedly. The sampling rate adjusts to the allocation, so frequent changes can skew your reports.

Agencies send a link request from Settings > Workspaces > Linked Workspaces. Click Link an existing workspace, enter the client's workspace ID and the email of one of the client's Owners or Admins, and click Send. The client approves from the email. Requests left pending for more than 48 hours are denied automatically. Both workspaces must be verified. Once linked, the client's workspace appears in your workspace switcher.

#Check that it worked

After switching, the workspace switcher shows the new workspace name and ID, and Experimentation > Web Experimentation lists that workspace's campaigns. In Dashboard > Campaigns Overview, the Workspace Name column and filter show campaigns from all your workspaces at once.

#Common questions

I clicked a campaign in Campaigns Overview and Wingify asked me to switch workspace. Why? The campaign belongs to another workspace. Campaigns Overview lists campaigns from all workspaces, but you can only open them from their own workspace.

Why am I asked for a 2FA code when I switch workspace? 2FA is enforced on that workspace. You enter a code once per session, at login or at your first switch into a workspace that requires it.

Can I open two workspaces side by side? No. Only one workspace can be active per browser.

How does an agency stop managing a client? Agencies can use Delink workspace from Linked Workspaces. Clients can ask Wingify Support or their account manager to revoke agency access.
